US-based digital marketing agency Suff Digital has reduced its Standard Operating Procedure (SOP) creation time by 67%, transforming a major operational bottleneck into an automated daily routine. By implementing AI tools to streamline documentation, the agency cut the average time required to build and quality-check a generic SOP from 90 minutes down to 30 minutes.
The operational shift comes as companies across the digital sector search for pragmatic, high-ROI applications for generative artificial intelligence. For Suff Digital—a firm specializing in search engine optimization and website optimization—the largest return on investment has emerged not in replacing human labor, but in automating process documentation.
Modernizing Process Documentation
Traditionally, creating SOPs required team members to draft step-by-step procedures from scratch after completing a project. By introducing AI tools such as Scribe, Suff Digital shifted to a model where routine actions are captured and converted directly into actionable documentation as the work happens.
“What used to be a daunting task, has become a daily routine,” said Kriszta Grenyo, Chief Operating Officer at Suff Digital. “On average, a generic SOP took our team roughly 90 minutes to complete from start to finish, including a QA. After we implemented Scribe, it went down to around 30 minutes. That’s a 67% reduction in documentation time.”
The time saved has prompted broader changes in how agency leadership approaches resource allocation and daily capacity.
“When you value an employee’s time as currency, your mindset shifts towards optimizing the processes that consume most of it, and AI has been a huge help in doing so,” Grenyo noted.
Establishing Guardrails for Faster Adoption
Beyond basic time savings, the integration of AI tools highlighted the importance of governance and clear operational boundaries. To prevent risk while accelerating adoption, Suff Digital prioritized formalizing workflows around recurring tasks and establishing explicit approval layers for high-stakes actions.
Key structural measures implemented include:
-
Standardizing Recurring Tasks: Documenting routine procedures so team members can operate within clear operational guidelines.
-
Structuring High-Risk Approvals: Establishing explicit authorization checkpoints for sensitive or critical business decisions.
-
Defining AI Responsibilities: Clarifying exactly which tasks are delegated to AI tools versus which remain assigned to human oversight.
“When I prioritized creating workflows that documented recurring tasks like procedures and approvals on high-risk decisions, I noticed that the environment I created in return was one where employees could operate more quickly and operate within established guardrails,” Grenyo said. “When teams know exactly what the AI can do, what actions would require approval and who is to be responsible of that outcome, adoption of it becomes much easier and far less risky.”
Strategic Focus: Supporting Human Work
As digital agencies navigate rapid technological shifts, Suff Digital’s management emphasizes that the true value of AI lies in capacity building rather than replacing staff functions.
“Ultimately, the businesses that will see the greatest return aren’t the ones automating human tasks,” said Grenyo. “They’re the ones using AI to free up their teams workload, allowing them to focus on human focused tasks.”
